Calculators
The food cost % and recipe cost calculators run in your browser. Recipes you save stay in your browser; nothing you type is sent to us.
Price change report
When you upload invoices to the price change report, we store:
- The invoice files you upload.
- What we read from them: supplier, invoice dates and numbers, items, quantities and prices.
- The report we build from them.
- A scrambled (hashed, with a secret key) form of your IP address, to limit each visitor to 3 free reports a day. We never keep the address itself, and delete the daily count once the day is over.
Your browser also keeps a random code for each report, so that if you sign up later your reports can move to your account. It is not used to track you.
Emailing yourself the report
If you enter your email address on the report page, we email it the link to your report. We never email your invoice files. We keep the address with the report and delete it along with the report.
The "tell me when price alerts launch" box is separate and starts unticked. Only if you tick it do we keep your email address and the time you ticked it after the report is deleted, to tell you when price alerts launch. We keep nothing else from the report for this.
Your account
When you sign up, we keep your email address and when your free trial started. We use the address to send your sign-in links. A cookie keeps you signed in for 30 days or until you sign out.
Invoices you upload in your account are kept with it: the files, what we read from them and the corrections you make, to track your prices over time. Only you can see them. An invoice you delete before confirming it is removed with its file.
If you subscribe, Stripe takes your card and keeps your payment details; we never see your card number. We keep your Stripe customer number and your subscription's status and dates. We email you once, 3 days before your free trial ends.
How long we keep it
Price change reports: 30 days. Each report has its own private link that works for 30 days after upload; then a daily job deletes the invoice files, what we read from them and the report. You can delete everything sooner with the delete now button on the report. Deleted means removed from our database and file store; we keep no copies of our own, and our database provider's routine backups expire on their own schedule.
Your account is kept while your trial or subscription is running. If your trial ends without subscribing, a payment fails for 7 days, or your subscription ends, your account becomes read only. We keep it for 90 days after that, in case you come back, then a daily job deletes it and everything in it. You can delete your account and everything in it yourself at any time on the Billing page in the app; that also cancels your subscription. Stripe keeps its own records of payments, as payment law requires.
Who processes it
- Vercel hosts the site and runs the code that handles your upload.
- Supabase stores the invoice files, report data and your account in a private database and file store, and sends your sign-in emails.
- Anthropic's Claude reads the items and prices off your invoices.
- Resend sends the email with your report link, if you ask for one, and your trial reminder.
- Stripe takes payments and keeps your card details, if you subscribe.
- Vercel Web Analytics counts page views without cookies.
We also count reports, invoices, signups, confirmed invoices and subscriptions per day, as plain totals with nothing about who uploaded them or signed up.
We do not sell your data or share it with anyone else.
